Public Programs Coordinator

Reports to: Public Programs Manager
Department: Education and Community Engagement
Position Type: Part-time, 20 hrs/week, non-exempt

Summary of Position

The Public Programs Coordinator oversees the coordination, implementation, and evaluation of creative, mission-based art education programs to attract and engage traditionally underrepresented museum audiences, young professionals, lifelong learners, and the general community. Through community partnerships and public programs, this position will deepen engagement, increase attendance, uplift community voice, and demonstrate the value of TAM as a vital and relevant community-centered museum.

Responsibilities

    • Coordinate program logistics and provide event support for public programs, workshops, festivals, and education events, with a particular focus on talks and lectures
      • Scheduling spaces and confirming set-up details
      • Making travel arrangements
      • Procuring and preparing supplies
      • Managing A/V needs and set up
      • Producing related correspondence and documents
      • Processing payments
      • Creating and processing program registrations
      • Producing event-related documents (Internal Event Forms, event maps, contracts)
      • Making catering arrangements with Cafe staff
    • Work with Communications Departments to develop content and plans for advertisements, press coverage, web content, and other promotional materials in a timely manner
    • Professionally and courteously handle inquiries via telephone and email
    • Maintain timely and accurate program statistics. Prepare reports as needed
    • Collect and administer surveys to track visitor engagement and satisfaction
    • Supervise volunteers, interns, and contracted artists as needed
    • Perform other duties and tasks as assigned

Qualifications

  • One to three years of experience coordinating public programs, including: developing activities/performances/programs that meet organizational goals, overseeing contracts, managing event support staff, complying with facilities requirements, and collaborating with the marketing department on publicity
  • Proficient in Microsoft Office applications and database systems.
  • Strong written and oral communication skills, effective problem solving, flexibility, and sense of humor
  • Ability to forge and maintain effective working relationships with a variety of individuals. Exhibits an awareness and sensitivity to cultural and other differences when working with representatives of public and private organizations, volunteers, vendors, museum staff and the general public
  • Must be a self-starter, show attention to detail, and possess excellent organizational skills. Ability to work accurately and efficiently and keep track of numerous projects simultaneously
  • Willing to work evenings and weekends, on- and off-site
  • The qualified candidate must possess a compatible commitment to the museum brand personality: innovative, passionate, civic-minded, gracious, approachable
  • Strong commitment to equity and accessibility
  • Experience working with artists and/or arts organizations is a plus

Travel, Working Conditions, and Physical Environment

  • Must be able to sit at a workstation and/or a computer screen for the majority of the work day
  • Frequently reaches with hands and arms and uses hands and fingers to handle objects and operate tools, machinery, computers, and/or controls.
  • Continuously exchanges information through listening and talking with staff, volunteers and individuals in the community
  • Some work may be occasionally performed outside where employee is subject to adverse weather conditions
  • Some local travel, less than 25% of work hours

The gift, announced on Mrs. Benaroya’s 93rd  birthday, includes a contribution for the construction of a new 7,390 square-foot gallery addition in which to present the collection.  The new wing  has been designed by award-winning architect Tom Kundig of Seattle-based Olson Kundig and is projected to open in January 2019.
